Overall purpose of role
Ensure the administrative functions of the HSES Department are completed in a timely, efficient manner in compliance with Company standards and expectations.
Primary responsibilities, authorities & accountabilities
- Prepare and distribute HSES communications across the Group, including Lessons Learned, Safety Alerts, Bulletins, and Toolbox Talks.
- Regularly collate and maintain company-wide HSES data, such as SOAP and Take 5 records.
- Monitor and report the progress of HSES KPIs on a monthly basis.
- Conduct trend analysis of data received from facilities to enable proactive management response to adverse trends.
- Collate and report facility and project man-hours for inclusion in corporate HSES statistics.
- Maintain a centralized database of Group incidents, track root causes, and coordinate with HSES personnel to ensure timely closeout of action items.
- Facilitate updates to HSES documentation and statistics on LGMS / Lamprell Connect platforms.
- Prepare and distribute the Corporate Monthly HSES Scorecard.
- Authorized to provide HSES statistics to stakeholders as required.
- Assist in organizing the annual HSES Management Review and Corporate Safety Steering meetings.
- Monitor the completion of updates to HSES Activity Plans.
- Support the planning and rollout of HSES campaigns.
- Maintain and monitor the HSES Department staffing plan.
- Attend HSES team meetings and manage documentation distribution.
- Actively participate in HSES activities such as yard walkthroughs and safety campaigns.
- Monitor Compass and ESS central control systems, addressing swipe errors, overtime, and related issues.
- Ensure timely submission of all HR-related deliverables, including leave applications and timesheets, in accordance with company protocols.
- Raise material requisitions in Oracle for HSES-related needs such as equipment calibration, campaign materials, and medical supplies.
- Ensure conformance with all applicable company policies and procedures.
- Maintain compliance with HSES policies and procedures.
- Assist in preparing the HSES corporate budget and tracking expenditures.
- Ensure adherence to all applicable information security policies and procedures.
Attainment
- Minimum of 3 years’ experience in a similar role within the GCC.
- High school diploma or equivalent required.
- NEBOSH International General Certificate (IGC) completed or in progress.
- Strong understanding of HSES management systems and their implementation within the scope of responsibility.
- Ability to support the achievement of organizational HSES objectives, KPIs, and deliverables.
- Clear and effective communicator, both verbally and in writing, with the ability to accurately convey technical HSES information.
- Experienced in coordinating, executing, and communicating HSES administrative functions.
- Skilled in monitoring HSES operational statistics, supporting improvement initiatives, addressing project requirements, and facilitating HSES-related training and development.
- Proficient in accurate data management and report preparation related to HSES documentation.
- Demonstrates effective time management and organizational skills.
